From Subscribers (HOA Boards):
- HOA community name and slug
- Board contact email address
- Community logo (if uploaded)
- Household street addresses (provided by the Subscriber during setup)
- Payment information (processed by Stripe; the Company does not store credit card numbers)
From Users (Residents and Board Members):
- Access token usage (login events)
- Ideas, recommendations, and votes submitted through the Platform
- Names voluntarily provided when posting content (optional)
- Referral form submissions (name, email, phone, description)
- Contact form submissions (name, email, subject, message)
Automatically Collected:
- Browser type, device type, and operating system
- IP address and approximate geographic location
- Pages visited, timestamps, and session duration
- Cookies necessary for session management
§ 2Information We Do NOT Collect
- We do not collect email addresses or passwords from individual residents during login
- We do not collect Social Security numbers, government IDs, or financial account information from Users
- We do not use tracking pixels, third-party advertising cookies, or behavioral advertising technologies
§ 3How We Use Information
- To operate, maintain, and improve the Platform
- To authenticate Users via access tokens
- To display community content (ideas, recommendations, votes)
- To communicate with Subscribers about their account and service updates
- To process referral and contact form submissions
- To generate anonymized, aggregated analytics for product improvement
§ 4Data Sharing
We do not sell, rent, or trade personal information. We may share information only:
- With service providers who assist in operating the Platform (hosting, payment processing), subject to confidentiality obligations
- Within a community portal, where ideas, recommendations, and votes are visible to all authenticated Users of that community
- As required by law, in response to valid legal process, court order, or government request
- To protect rights, including enforcing these Terms, preventing fraud, or protecting the safety of any person
§ 5Data Isolation
Each HOA community's data is logically isolated. Users authenticated into one community portal cannot access data belonging to another community. Cross-community data access is prevented at the database level through row-level security policies and organization-scoped queries.
§ 6Data Retention
We retain community data for the duration of the Subscriber's active subscription. Upon termination or cancellation, community-specific data (ideas, recommendations, votes, household addresses, tokens) will be deleted within thirty (30) days, unless we are legally required to retain it. Anonymized, aggregated data may be retained indefinitely for analytical purposes.
§ 7Data Security
We implement industry-standard security measures, including:
- Encrypted data transmission (TLS/HTTPS)
- Encrypted data storage
- Row-level security policies preventing unauthorized data access
- Separation of public (read-only) and service (write) database access roles
- Access tokens hidden from public-facing API endpoints
No system is perfectly secure. The Company cannot guarantee absolute security and is not liable for unauthorized access resulting from factors beyond our reasonable control.
§ 8Children's Privacy
The Platform is not directed at children under 13. We do not knowingly collect personal information from children under 13. If we learn that we have collected information from a child under 13, we will delete it promptly. If you believe a child has provided us with personal information, please contact us.
§ 9New Jersey Residents
New Jersey residents may have additional rights under the New Jersey Data Privacy Act (NJDPA), if and when applicable to the Company based on processing thresholds. These rights may include the right to access, correct, delete, and obtain a copy of personal data, and to opt out of the sale or sharing of personal data. § 10Changes to This Privacy Policy
We may update this Privacy Policy from time to time. Material changes will be communicated to Subscribers via email at least thirty (30) days before they take effect. The "Effective Date" at the top of this policy indicates the most recent revision.
